Who provides this service?
Work Report™ is provided by Experian, the world’s leading provider of information services. PayDashboard, a part of Experian, provides an integration so that PayDashboard users can benefit from the service.
How much does it cost?
Work Report™ is provided free of charge to any employee using PayDashboard.
What information does Work Report™ collect?
Information is collected and shared with consent from an employee during an application.
Someemployee information such as their name and date of birth, along with a unique identifier, is submitted by the employee as part of an application (e.g. for a loan or mortgage) and is used, with their consent, to help Work Report™ locate their information in PayDashboard.
Work Report™ only collects the minimum data needed to enable a successful match and retrieval of the employee's payroll information from your payslip portal. Data is only requested once.
If an employee begins any other applications in the future, they will need to provide consent for information to be shared for each application.
What data is held during the verification process?
Employees’ personal data and a unique identifier is captured in the verification process.
This is used to authenticate your employee’s identity and to ensure that Work Report™ accurately matches the correct payroll data to that individual. The PII is deleted and not stored or kept by Experian once payroll data has been provided to the employee's chosen finance provider (e.g. a bank or lender).
Work Report™ simply facilitates the transmission of the employees’ own data between their payslip platform and the finance provider of their choosing.
Only the necessary income and/or employment fields that are required to inform the specific finance provider use case are shared with the relevant provider. This is in accordance with GDPR’s data minimisation principle.
Is Work Report™ secure and compliant?
Yes. Work Report™ is provided by Experian, the world’s leading provider of information services.
Experian is regulated by the Financial Conduct Authority (FCA) and is required to manage data under the governance of the UK General Data Protection Regulation (UK GDPR) and the Information Commissioner's Office (ICO) guidelines and best practice.
Data is typically shared using secure Application Programming Interfaces (APIs) that connect directly to your payroll/HR database.
The service is subject to the highest levels of security andcan only be used with consent from an employee.
Do I need to tell my clients about this service?
We will inform all employer users of PayDashboard that this service will be added to the platform. The service will only be available for employees to use if it is switched on in their employer’s settings.
Employees won’t see any changes in PayDashboard. It is only if they are making a finance application and choose to use automated verification that they will ever use the WorkReportTM service.
By opting into Work Report™, employers are simply enabling their employees to make the choice as to whether they would like to use Work Report™.
Employers will need to determine if a notification is required to their employees as they are the data controllers.
When will it be available?
We are currently notifying all employers using PayDashboard of this upcoming service. It will be available from 30 November 2022.
We will notify you when the service is live in PayDashboard and can be used by employees.
Can I opt out of this?
As employers are the data controllers when it comes to their employee data, they will be able to choose whether they opt in or opt out of the service.
If you have any concerns or queries about the service and would like to learn more, we’d be happy to discuss these with you.
If a client comes to you with a question about Work Report™, you can direct them to a dedicated FAQs page, here.
Experian and its partners have already made this service available to employees via its network of clients such as banks, building societies, utility providers, payroll software providers and other fintech businesses.
Other services using employee data
In addition to the WorkReportTM service Experian will from time to time use both aggregated and non-aggregated data held by Pay Dashboard to improve the services it can offer to employees.
This could include but is not limited to reporting, analytics, conducting employee financial research and answering employee queries. Experian may hold the data for up to six years.
Where should my employee submit a “subject access request” for their PII?
A SAR should be submitted to the data controllers, which in this case is the finance provider (e.g. the bank they have chosen to share their information with) or Experian.
What do I need to do?
Nothing! This service is free of charge and will be available from the end of November.
Your clients will be able to opt in or opt out of this service. They will receive a notification letting them know that they need to review their settings
These settings can be updated by your clients anytime by an admin user.
