The multi-client documents feature allows an Agent to send one document to multiple employer/client accounts at once. You can upload and categorise multiple documents, choose which clients the document is sent to, and send a notification that a new document is available.
STEP-BY-STEP
- Click the upload documents to multiple clients option from your document dashboard.
- Select which clients to send the document to. There are options to SELECT ALL / CLEAR ALL and individual clients can be selected or unselected using the tick box.
- You can select an existing category for the document, or create a new category.
- You can select a single file or multiple files from the upload box in one upload.
- Choose whether new document notification emails are sent to clients or not.
- (Optional) Edit the individual document name or category as it will appear to clients.
- Click UPLOAD. Files will be uploaded and notifications sent (if applicable).
FEATURE SETTINGS / PERMISSIONS
• Agent permissions - any Agent can upload documents to any client(s) regardless of their
permission settings.
• Employer permissions - only employer users with the ‘Download Documents’ permission ticked
are able to see/download multi-client documents.
OTHER INFORMATION
• You can upload files in various formats including zipped folders containing multiple files.
• Multi-client documents can not be replaced or deleted in bulk.
• Documents can be deleted from individual client accounts by accessing the client’s documents
area and deleting the document for you and the client.
• You can see if/when a client downloaded a document by viewing the client’s documents area.
• You can delete a document after a client has downloaded it.
• Sent documents can be viewed in an individual client’s inbox.
As with all documents uploaded to PayDashboard, documents are provided exactly as uploaded
onto the PayDashboard system. PayDashboard does not accept liability for any damage sustained
as a result of software viruses present on an uploaded file, and would advise the use of virus
checks before opening any document
